We are looking for a responsible, personable and self-motivated person to perform a variety of accounting and administrative tasks within a small magazine subscriptions team in the Bournemouth area. Providing support and assisting in daily needs, a successful Finance Executive should ensure the efficient and smooth day-to-day operation of our office accounts and process various reports in a weekly/monthly ridged timescale. The ideal candidate should have excellent oral and written communication skills, excellent time management and be able to organise their work using Microsoft Excel and Word. The role holder will be expected to work very much under their own initiative once trained, but reporting to the Managing Director at all times. Duties include: Answering and directing phone calls Answering email enquiries Invoice customers accurately and promptly. Manage cash flow to ensure overdraft facility is not breached. Assist in preparing monthly publisher payment reports. Responsibilities Check invoices are correct and enter on to Sage under the appropriate nominal code and department. Check employees expenses and enter on to Sage. Ensure aged debtors are chased for payment at 30 days from date of invoice. Initialise legal proceedings against late payers. Pay suppliers at the agreed credit terms deadline. Ensure any dubious invoices are brought to the attention of the MD. Process payment reports generated by Paypal and Sage Pay ensuring funds are allocated and reconciled against the correct publisher/magazine cost centre. Manage the Direct Debit process and cycle. Assist in preparing monthly subscription payment reports. Process weekly epos information and circulate the projected sales reports to the appropriate personnel. Format weekly reports received from our distributor and send to selected personnel. Take down and process accurate subscriber details and payment information Reply to queries within 24 hours. Requirements Excellent organisational skils. Attention to detail and accuracy. Ability to work under pressure to agreed deadline. Strong communication and numeracy skills. Computer literacy especially Excel and Sage 50. Competent understanding of budgets and forecasts.
