Travel & Logistics Supervisor

 

Job Description

Purpose:

Responsible for ensuring the Travel & Logistics department runs smoothly, effectively and efficiently on a day to day basis. Supervising a team of Coordinators, Concierge and Drivers in a busy environment as well as overseeing all areas of the department such as travel bookings, fleet bookings, shipments, maintenance of company vehicles, dealing with suppliers, processing all department invoices and actively cutting costs where possible.

Main duties & responsibilities

  • To oversee all members of the department which includes several coordinators, concierge and drivers
  • Plan, manage and evaluate logistics operations liaising with internal stakeholders, suppliers, logistics providers and transportation companies
  • To arrange travel and transportation for staff and guests with little to no delay
  • To facilitate the shipping of products from one destination to another ensuring products are dispatched / received on time
  • Ensure all data in relation to travel, fleet and shipping is logged accurately and kept up to date
  • Ensure all company fleet vehicles are maintained and roadworthy. This includes, Road Tax, MOT, servicing, breakdown cover
  • To continuously review expenditure with department manager and identify potential ways to reduce costs
  • Organise rota for department and arrange cover for annual leave & sicknesses as and when required
  • Review all workflows with department manager annually and streamline processes if required
  • To deliver solutions to logistics problems while maintaining high levels of quality and service
  • Responsible for department petty cash
  • To maintain effective relationships with suppliers / vendors and negotiate
  • Ensure compliance with all company policies

Knowledge, skill, and/or ability required

  • Fluent English speaker and able to communicate effectively verbally and in writing
  • Arabic speaking preferable but not essential
  • Supervising a team effectively
  • Ability to prioritise, problem solve and multi-task
  • Ability to perform under pressure in a busy environment
  • Excellent attention to detail
  • Excellent organisational skills

Qualifications and Experience

  • Bachelor's degree or equivalent preferable
  • 2 years or more in similar role
