Project Manager - Digital Communications Agency

 

Job Description

Our South West London based digital communication agency client requires a Project Manager with experience delivering digital projects to join their team on a permanent basis.

This role has a mixture of office based and remote working.

Role Description:
Our client have been working hard throughout the last 6-months and now require a Project Manager to join their team and drive the full lifecycle delivery of between 30-40 small (predominantly digital) projects. This is a vital role and will act as the only Project Manager within the team, engaging across the organisation and with external suppliers to ensure successful delivery within time, cost and quality parameters. There is no line management responsibility.

Due to the nature of the environment, previous experience within a regulated agency environment is beneficial but is not essential.

Key parts of this role are:

Finance tracking, monitoring, billing and forecasting
Effectively using Streamtime software.
Prioritisation and time management.
Capacity planning and scheduling.
Key tasks and responsibilities:

Nose-to-tail Project Management using Streamtime, including estimating, timelines, tracking, monitoring and reporting, following the agreed agency processes - or proposing improvements to them.

Driving timelines internally and working with client service to ensure they can drive timelines with clients.

Working with finance on trackers, billing and to inform forecast.

Effective capacity planning (setting to dos) as far out as reasonably possible, co-ordinating internal staff and suppliers at the correct point in a schedule.

Identifying freelance requirements at the earliest possible point so we can secure the best people. for the job, bearing in mind this might be months ahead on some occasions.

To complete your own timesheet daily and ensure the timesheets of others are completed daily.

Working with account handling to re-estimate where a project has changed scope.

External supplier management to obtain estimates/quotes/issue POs (once we have a client PO) and project plans, submitting their costs to finance for prompt payment and doing all that is possible to retain the best suppliers.

To work with the Creative Director and creative team to facilitate the execution of the agreed creative vision for each job

Running our daily stand ups and leading People Planning meetings.
Internal (creative) and external (client) team engagement.

Required Skills and Experience:
Demonstrable project management experience within a digital agency organisation - ideally within a strongly regulated environment.
Agile thinker, flexble and able to juggle competing and changing priorities, with some very fast moving projects
Full life-cycle Project Management including estimating, timelines, tracking and monitoring, reporting and at risk management (over or underspend)
Experience running daily stand ups
Experience driving timelines for multiple, small, short projects internally and working with client service to drive timelines with clients
Capacity planning
Financial experience including tracking, billing and forecasting
Previous experience with supplier liaison/negotiating e.g. external artworker, film companies, powerpoint person
Budget management
Detail orientated with ability to summarise to big picture
Meticulous record keeping and filing
Good business acumen and drive to deliver quality work at a profit for the agency
Must be excited to be at the coal face and work flexibly as a small team
Client facing experience.
Streamtime software experience is highly beneficial but not essential.
Proficient user of IT packages - must be able to quickly learn and take ownership of relevant software.
IPA legs/regs qualification is an advantage, but if not held, training will be given
Negotiations skills/training is an advantage

Two stage interview process.

Ideally candidates will be based in the South West London area but this is not essential.
